# Every Stripe payment goes to myDATA

> Automatic myDATA documents for every Stripe payment: Checkout, subscriptions, Stripe invoices and custom integrations. VAT number checks, foreign currencies, OSS.

Checkout, subscriptions, invoices you create inside Stripe. Billit issues the document and sends it to myDATA and to your customer.

## In short

- Billit connects to your Stripe account in one click, with no API keys.
- Every confirmed Stripe payment becomes a document in Billit and is sent to myDATA, the AADE (Greek tax authority) platform, with a MARK.
- It supports Stripe Checkout, subscriptions, invoices you create inside Stripe and your own custom integrations.
- Billit checks the customer's VAT number with AADE and VIES, converts foreign currencies to euros and waits for slow payments to clear before issuing.
- Anything uncertain stays as a draft and you get an email about it. Nothing wrong goes to myDATA.

## Five ways to use it

Pick whichever suits you. You can use more than one at the same time.

1. **Pay button on your documents:** **You send the document, your customer pays by card.** Nothing else to set up.
2. **Stripe Checkout from your e-shop:** From your own app or your e-shop. **Every completed sale becomes a document in Billit.**
3. **Subscriptions:** Monthly or yearly billing, **with everything that comes with it**: trial periods, renewals, plan changes.
4. **Your own custom integrations:** If you charge with Stripe Elements or PaymentIntents, the **Stripe (Custom Integrations)** add-on picks up successful charges and turns them into documents.
5. **Invoices you create inside Stripe:** You send the payment link to your customer. **As soon as they pay, the document is issued.**

### Connecting takes one click

In **Payment Methods**, choose Stripe. Create a new account from within Billit or connect the one you already have. No API keys and no copying codes. Your Stripe account stays yours.

## What happens when a payment comes in

Billit doesn't wait for you to remember. As soon as Stripe confirms the payment:

1. **Stripe:** Confirmed payment (Checkout, subscription, invoice or charge)
2. **Billit:** Creates the document
   - Finds or creates the customer with name, email and address
   - Calculates VAT from what was actually charged
   - Matches the products, or creates them
   - Picks the document type: goods or services
3. **myDATA (AADE):** Through certified provider (Receives MARK / QR code)
4. **Your customer:** Document by email (Optional, credit notes included)

**Sales to other EU countries:** The OSS rate is worked out from the customer's country and the required myDATA classifications are filled in.

## A document only when one is needed

Billit follows the whole life of a Stripe subscription. It doesn't matter whether it started from checkout, from the Stripe dashboard or from your code.

| | |
|---|---|
| **Free trial** | No document. The customer hasn't paid, so there is no sale. |
| **First real charge** | Document. Once the trial ends and the card goes through, the document is issued for the right amount. |
| **Every renewal** | Document. Automatically, every month or every year. |
| **Plan upgrade** | Document for the difference. If the customer moves from €30 to €50, Stripe charges the difference. Billit issues a document for the difference, on a single line. |
| **Plan downgrade** | Credit note. Stripe doesn't refund money. It keeps the difference as customer balance. Because the value you already invoiced goes down, Billit issues a credit note for that amount. For a business it's a credit invoice, for an individual a retail credit note. |
| **New upgrade paid from the balance** | Document. It is charged as normal and a document is issued, even if the customer pays nothing by card. The balance has already been credited. |

**The rule behind it is simple.** Every Stripe invoice with a value becomes one document in Billit. Zero-value ones produce nothing. If automatic email is on, your customer also receives the credit notes.

## "Slow" payments and other currencies

### SEPA and bank transfer

Not everyone pays by card. SEPA direct debit and bank transfers take days. Stripe closes the order right away, but the money hasn't moved yet. **Billit waits.** Once the money arrives, the document is issued.

- **No document is issued** for money that hasn't arrived.
- **If the payment never goes through**, there is nothing to cancel. Nothing was issued.
- **Card payments work exactly as before.** There, completing the order and collecting the money happen at the same moment.

### Dollars, pounds, any currency

Selling in dollars? In pounds? **The document is issued in euros, as it should be.**

- **Conversion happens automatically**, at the day's rate from the European Central Bank.
- **Your customer sees what they paid.** The document shows the original amount and the exchange rate, so 110 dollars and 100 euros clearly read as the same money.
- **If no exchange rate is found**, no document goes out with a wrong number. Stripe resends the payment shortly and Billit tries again.

## Invoices you issue yourself in Stripe

Some people don't use checkout at all. They create the invoice inside Stripe and send the payment link. Those reach Billit too.

- **As soon as the invoice is paid in Stripe**, the document is issued in Billit.
- **With your customer's details.** Name, address and VAT number are read from the customer record in Stripe, not from the card they paid with.
- **For the right amount**, even if part of it was covered by balance the customer had in Stripe.

You turn it on in the **Stripe (Custom Integrations)** add-on, under **Automatic invoicing mode**. On **Off**, Billit doesn't touch them at all, because it assumes you record them yourself. Set it to **Draft** or **Issue immediately** and Billit takes over.

**One thing to watch.** To get an invoice rather than a receipt, the customer in Stripe must have a VAT number saved **before** the invoice is finalized. If it's added afterwards, we don't see it.

## Nothing uncertain goes to myDATA

Billit would rather ask you than send something wrong to AADE.

### The VAT number check

Stripe only checks whether a VAT number has the right format. It doesn't know whether it exists or belongs to a business. **Billit actually checks it.**

- **Greek VAT number.** It asks AADE, if you have entered your credentials. Otherwise it goes to VIES.
- **VAT number from another EU country.** It goes to VIES.
- **Outside the EU.** There is no registry to ask.

If the VAT number can't be verified, the document stays as a draft and you see it first.

### When a document stays as a draft

- **A product comes in that Billit doesn't know**, or one with no type set in a mixed store.
- **The sale's VAT rate doesn't exist** in Billit.
- **The customer's VAT number wasn't verified.**
- **The amount doesn't add up.** If what Stripe says differs from what we calculate, we stop.

In every case you get an email saying what went wrong. **You fix it and finalize in one click.**

## "My customer paid in Stripe. Did it become a document?"

Each row is an event Stripe sent. Next to it:

- **When Stripe sent it** and **when Billit received it**.
- **What Billit did with it**, and why.
- **The document**, with a link, if one was issued.

An empty column doesn't mean an error. It means no document was needed. You'll find it when editing the Stripe payment method and inside the Stripe (Custom Integrations) add-on. Stripe keeps events for 30 days.

## Your settings

In **Payment Methods → Stripe**:

- **Product type.** Products, Services or Mixed. It decides whether Billit issues a retail sales receipt (ΑΛΠ), a retail service receipt (ΑΠΥ), a sales invoice or a service invoice.
- **Automatic email** of the document to the customer. Applies to credit notes too.
- **Product sync with Stripe**, if you want to create payment links outside Billit. Each product's page also has a **Create in Stripe** option.
- **Stripe Tax indicator**, which tells you whether it's active on your account.

The **Stripe (Custom Integrations)** add-on has its own: off, draft or issue immediately, whether amounts include VAT, default rate and default line description.

## What isn't covered

- **Refunds.** If you refund a payment from within Stripe, you issue the credit note yourself in Billit. Subscription downgrades are a different story and are covered automatically.
- **Changes to your Stripe account.** These are made in Stripe only.

**What stays the same.** If you use Stripe only for the pay button on your documents, you don't need to do anything at all. Everything above is optional and only switches on when you ask for it.

## Frequently asked questions

### Are the documents Billit issues from Stripe payments legally valid?

Yes. Every document is sent to AADE's myDATA through our partner certified provider and receives a MARK (unique registration number) and a QR code.

### How do I connect Stripe to Billit?

In Billit's Payment Methods, choose Stripe. Create a new Stripe account from within Billit or connect the one you already have, in one click. No API keys and no copying codes. Your Stripe account stays yours and Billit doesn't change it.

### Do I need a developer?

No. The pay button on documents, Stripe Checkout, subscriptions and Stripe invoices all work without code. If you charge with Stripe Elements or PaymentIntents from your own code, you turn on the Stripe (Custom Integrations) add-on and Billit picks up the successful charges.

### What documents are issued for Stripe subscriptions?

Nothing is issued during the free trial. A document is issued on the first real charge and on every renewal. On a plan upgrade, a document is issued for the difference. On a downgrade, a credit note is issued for the amount Stripe keeps as customer balance. Every Stripe invoice with a value becomes a document in Billit; zero-value ones produce nothing.

### What about SEPA direct debit and bank transfers?

Billit waits for the money to arrive. No document is issued for money that hasn't arrived. If the payment never goes through, nothing was issued and there is nothing to cancel.

### I sell in dollars or pounds. What document is issued?

The document is issued in euros at the day's rate from the European Central Bank. The document shows the original amount and the exchange rate. If no rate is found, no document goes out with a wrong number. Billit tries again when Stripe resends the payment.

### When does a document stay as a draft?

When a product comes in that Billit doesn't know, when the sale's VAT rate doesn't exist in Billit, when the customer's VAT number wasn't verified, or when Stripe's amount differs from what Billit calculates. You get an email with the reason, fix it and finalize in one click. Nothing uncertain goes to myDATA.

### Is the customer's VAT number checked?

Yes. Stripe only checks the format of the VAT number. For a Greek VAT number Billit asks AADE, if you have entered your credentials, otherwise VIES. For a VAT number from another EU country it asks VIES. If the VAT number can't be verified, the document stays as a draft.

### Do invoices I create inside Stripe become documents?

Yes. As soon as the invoice is paid in Stripe, the document is issued in Billit with the details from the customer record in Stripe. You turn it on in the Stripe (Custom Integrations) add-on, under Automatic invoicing mode, with Draft or Issue immediately. To get an invoice rather than a receipt, the customer must have a VAT number in Stripe before the invoice is finalized.

### Are refunds made in Stripe covered?

No. If you refund a payment from within Stripe, you issue the credit note yourself in Billit. Subscription downgrades are covered automatically with a credit note.

### How much does it cost?

You need a Billit PRO subscription (€19.90/month) and a contract with our partner certified provider for transmission to myDATA. You start with a 14-day free trial, no credit card required.
